So, suppose you have set up all the custom fields you want, you still have a problem if the custom fields were set up after the website have already launched and after quite a bit of user have already logged in. The reason is that these custom fields are only populated, in my example, is during single sign-on. So, if the user logged in before we implemented this process, their account is not going to have the value until they go through a single sign-on process. But most likely, you want all your existing users to have a value in this custom fields so that you can actually run reports or set up configurations based on those fields. One thing you can do is, let's just randomly select a user, click on custom fields, and then click on bulk update user custom fields. So, what you can do here is you can actually download a template that is specifically created just for all the custom fields that you have enabled. So, in this case, I'm just going to open this, okay? So, you'll see the majority of the data is still empty, but I do have two columns that's very important because these are the columns that's going to be used to pivot on what user we're talking about. And then there's going to be a column for each custom field that has been enabled. So, some of the rows have data, a lot of the rows are empty because these are the users who have logged in prior to we adding the logic to populate the custom fields. So, how do we get the data in here? It will be up to you on how you can work your existing CRM or AMS to populate the data in this Excel file. So, that is something that you have to do outside of OASIS because OASIS don't have the data. Now, suppose you're able to work with somebody to populate the data, which we're going to show an example. So, here we go. So, suppose it takes you a while and then you populate this data. So, this is what the data is going to look like. Now, what you can do is make sure that you only populate the data, you did not change the format in any way. Then what you can do is that you can basically upload this Excel file. Okay? So, keep in mind, what I'm going to do is I'm going to, I just want to grab one of the user. So, hold on one second. I just want to grab a few users that used to have no data. So, I'm going to grab this user to show that this user does not have any data. Okay? Currently. Right? No data. Now, what I'm going to do is I'm going to import a file that has data for this user. So, let's take a look. There we go. So, in theory, if I import the Excel file, this user is going to have these fields populated. So, let's see that in action. Okay? So, what we're going to do is we basically, I just do it again. I'm just going to upload the Excel file that has data populated. I'm going to click on validate. It's going to validate to say, hey, everything's good. Now, a couple of things. You probably want to go with the ignore blank data because when you ignore blank data, OASIS is not going to clear a field if there are any users with that data. If you toggle this, it will actually clear any data if it is, if OASIS used to have a data but your Excel file has empty for that row. So, we're just going to toggle it and then we're just going to click on import. So, this is going to take a little bit. Right? While it is running, I do highly recommend that if you're not sure about your data, you just manually do this import with a small Excel file instead of a massive amount of file. Right? Just in case you make a mistake, you make a small mistake instead of a big mistake. So, now I'm going to come over here. This is the user. If I just refresh the screen, notice that the data has been populated with whatever is from the Excel file. So, hopefully this video shows how you can actually do a bulk update of all your custom fields for all the user in the system if you're willing to put the data in a template that OASIS have. Thank you.
Video Summary
The video explains how to update custom fields for users who logged into a system before the implementation of single sign-on. These fields, populated during single sign-on, will be empty for earlier users. To update these fields in bulk, download an Excel template specific to the custom fields, fill in the data using an external CRM or AMS, and upload it back to the system. Validate the data, ensure the format is unchanged, and use the "ignore blank data" option if needed. The video demonstrates the process, emphasizing the importance of testing with a small dataset first.
