1 - Purpose of the import records tool and its caveats

In this video tutorial, we will go over why you want to use the tool called Import Record. Before we go into how to use the tool, we want to highlight a couple of things. First, is that you should not import user's record directly into a course, where Oasis will mark the user as having completed the course, and if there is any credit offered, Oasis will mark the user as having claimed the credit. You shouldn't do this, because typically, the user should actually do the course to complete the course and earn the credit. Now, this tool is available if you need to migrate existing record from a previous platform, or previous learning management system, so that you can say, okay, I have about 300 students who have finished this course and claimed the credit in the previous LMS, I would like to import their completion and the credit claim record in Oasis, so that on day one of the launch, those students, when they come in, they will see the fact that they have already completed the course and claimed the credit. So that will be the reason why you want to use this Import Record tool, is to load records from before. Now, if you do decide to import record this way, keep in mind that Oasis actually doesn't know anything about how the user did the course, except the fact that they have already finished and or claimed the credit. And because I don't know what the user actually did, here's an example. So I'm just going to come over here, this is the example where someone has already imported the record. There's going to be a little icon here that says, the course is auto-complete through backend due to forced completion data migration. So it just reminds you of the fact that, hey, these two users, they finished the course, not because they actually did the course in Oasis, where Oasis tracks all their answers and responses and so on and so forth. Instead, it is someone who forced their record into the system. And this particular course happened to have some content, some tests and some evaluation. Now I want to show, when you force someone's record, completion record in Oasis, not only do we keep reminding you that it is randomly complete, over here, notice that we're going to say that they didn't even watch the content. And for exam, we're always going to give the user 100%. And that's just because I don't know how the user answered the test. So I'm just going to pretend the user got 100%, because nobody's going to complain about the data migration if I give them 100%. And for all the evaluation questions, I'm just going to randomly answer. And if there's any fill in the blank, I'm going to say auto-answer. So that is a caveat. When you import a record, a completion record directly in Oasis, is not only do we remind you that this is randomly complete, the data in there essentially is junk. Now, because we also know that it's junk, some of the reports are not going to include this junk data when you run them. For example, item analysis or evaluation reports, we are smart enough to remember when a particular answer is randomly generated in the system, and then we're going to exclude when appropriate, we're going to exclude them from the report. But we're definitely not going to exclude these for completion report or credit claim report. Thank you.
