So now that you have set up your email, configured both email open tracking and link click tracking, you are ready to send the email out. Go to Tools, Email Campaign, and Send Mass Email. There's a few options you can go through. One is you can select Common, and there's a few pre-built groups. You can say, I want to email everyone who have logged in the last 12 months, and then go to Next. You can also say give everyone who have logged in at least once, everyone who have started a course, and then you have to select which course the user must have selected. So those are some common groups. If you have a user group, you can also select the user group. But in this case, I'm just going to actually copy and paste the emails. The reason I want to show this is because there's some constraint when you copy and paste emails, but it is the most flexible. If for example, your target cannot be easily described using a user group, or it cannot be easily captured using an existing commonly used group, you have to submit a ticket and 360 Factor Support Team will give you an Excel file that has the email that matches what you want. So when you have that, you will have something like this. Note that the system have to maintain its integrity by not spamming too fast. So what that means is you can only send 2,000 emails at one time, otherwise your email address will get blacklisted. So typically we recommend that if a list you get is for example, 20 or 30,000 emails, you unfortunately will have to send this out in multiple waves in order to sneak under the 2,000 limit that OASIS put in the system. So for example, this is what I typically do. I will select the first 2,000, I will cut it, and then I will paste it to column B, so that I know that these are the waves that I'm sending. So I'm going to copy it, and I'm going to paste it here, and then click on Validate. So this validation process takes into account whether the user allows email or not, because some people might have opt-out. And then, when it's ready, you configure email. The next step, so it's trying to load it into memory, so it's importing the user into the memory in order to send, and you can see this is a pretty expensive process. So I will say, Happy Holidays. I'm going to say, because you had to do this multiple times, let me see, oh, sorry. So this one, and then wave three, okay? So this is the email that I want to send out. Wait for the, there we go. So if you have, let's say, like what I do, which means I have almost 30,000 emails to send, that means I have to run this process, unfortunately, 14 times, right? It's 28,000, so 28,000 divided by 2,000, that's 14 times. So I had to do this 14 times. So unfortunately, you just have to be careful. You are making the right selections here so that you don't accidentally send the wrong thing, right? So then you click on Send Mass Email, and then click on Yes, and then the email have been scheduled. And then you just repeat this process X number of times depending on how many users you have. Definitely make sure that when you send mass email like this, depending on what you're asking the user to do, you should definitely stagger them so that you don't create a large wave of people arriving on the website. And this is because if, for example, if you are asking people to register for an event that is very CPU intensive, you might create system instability by generating 30,000 users arriving at the same time. But then what you can do is you can just send email again, and you can just rinse and repeat to do this over and over again until you have sent out email to everybody. Thank you.
Video Summary
In the video, the speaker explains how to send out mass emails using an email campaign tool. They demonstrate different options for selecting recipients, such as pre-built groups and user groups. They also mention the option to copy and paste email addresses or request an Excel file from support. The speaker notes that there is a 2,000 email limit per send to avoid blacklisting, so large lists may need to be sent out in multiple waves. They provide steps on configuring and validating the email, and advise staggering the sends to prevent system instability. The video concludes by emphasizing the need to repeat the process until all emails have been sent. No credits are mentioned.
